Dit privacybeleid heeft tot doel transparante informatie te verschaffen over de manier waarop OSB-VUB persoonsgegevens verzamelt en verwerkt bij het gebruik van haar mobiele applicatie ("de App") voor Android en iOS.

De term ‘Gebruiker’ verwijst naar elke natuurlijke of rechtspersoon die de App downloadt, installeert of gebruikt.

OSB-VUB bepaalt alle technische, juridische en organisatorische middelen en doeleinden voor de verwerking van de persoonsgegevens en handelt overeenkomstig de Belgische privacywetgeving en de Europese Algemene Verordening Gegevensbescherming (AVG / GDPR).

Indien OSB-VUB derden inschakelt voor gegevensverwerking (Verwerkers), worden passende overeenkomsten afgesloten die voldoende garanties bieden inzake beveiliging en privacybescherming.

2. Verwerking van persoonsgegevens

Het gebruik van de App kan leiden tot de verwerking van persoonsgegevens door OSB-VUB of diens partners/verwerkers. Deze verwerking vindt plaats in overeenstemming met de AVG en is gebaseerd op:

• Registratie in de App

• Aanmaken van gebruikersprofielen

• Pushmeldingen en gepersonaliseerde communicatie

• Gebruik van analytische tools binnen de App

• Interactie met functionaliteiten van de App (bijv. evenementen, lidmaatschap, chat)

3. Doel van de verwerking van persoonsgegevens

De verwerking van persoonsgegevens binnen de App dient volgende doeleinden:

3.1 Realisatie van het statutaire doel van OSB-VUB:

Het versterken van banden tussen oud-studenten van de VUB, het ondersteunen van de Universiteit en het uitdragen van het principe van het Vrij Onderzoek.

3.2 Functionele doeleinden binnen de App:

• Lidmaatschapsbeheer en verificatie

• Communicatie rond evenementen, bijeenkomsten en nieuws

• Statistische analyse van gebruikersgedrag voor app-optimalisatie

• Gepersonaliseerde notificaties (indien goedgekeurd)

• Betalingsverkeer (indien van toepassing op functies binnen de App)

4. Verwerkte persoonsgegevens

Mogelijk worden volgende gegevens verzameld via de App:

• Naam, voornaam

• Geboortedatum, geslacht

• Contactgegevens: e-mail, telefoon, adres

• Opleidings- en afstudeergegevens

• Professionele status

• Profielinformatie en interesses

• App-gebruikspatronen (technische metadata)

Bij gebruik van functies zoals locatiegebaseerde content, pushmeldingen of uploads kan aanvullende informatie worden verzameld, mits expliciete toestemming.

5. Toestemming

Bij installatie of registratie in de App wordt de Gebruiker gevraagd expliciet akkoord te gaan met dit privacybeleid. Deze toestemming is vereist voor het gebruik van bepaalde functies.

Toestemming kan op elk moment worden ingetrokken via de instellingen van de App of door contact op te nemen met OSB-VUB.

6. Bewaartermijn

Persoonsgegevens worden niet langer bewaard dan nodig is voor het beoogde doel. In beginsel bewaart OSB-VUB gegevens tot maximaal 70 jaar tenzij eerder verwijderd op verzoek van de gebruiker of conform wettelijke verplichtingen.

7. Ontvangers van gegevens

Gegevens kunnen worden gedeeld met:

• Interne medewerkers van OSB-VUB

• Geselecteerde IT-partners voor hosting en app-ontwikkeling

• Marketing- en communicatiedienstverleners (enkel mits toestemming)

Derde partijen ontvangen uitsluitend toegang op basis van een verwerkersovereenkomst met strikte waarborgen.

9. Rechten van Gebruikers

De gebruiker behoudt het recht op:

• Inzage in persoonsgegevens (art. 15 AVG)

• Correctie en verwijdering (art. 16–17 AVG)

• Beperking van verwerking (art. 18 AVG)

• Gegevensoverdraagbaarheid (art. 20 AVG)

• Bezwaar tegen verwerking, inclusief geautomatiseerde besluitvorming (art. 21–22 AVG)

Verzoeken kunnen worden gericht aan:
info@osb.be of per post naar Triomflaan 40, 1160 Oudergem, vergezeld van een kopie van de identiteitskaart.

10. Tracking & analytische gegevens binnen de App

De App kan gebruik maken van:

• App-analyse tools (zoals Firebase, Google Analytics for Mobile) voor gebruiksstatistieken

• Crashrapportage

• Pushnotificatie- en sessie-informatie

Er worden geen cookies gebruikt zoals op een website, maar vergelijkbare technologieën kunnen aanwezig zijn voor functionele en analytische doeleinden. Instellingen kunnen worden aangepast in het OS van het toestel.

11. Media en uploads

Indien gebruikers bestanden, foto’s of profielgegevens uploaden via de App, verklaart de gebruiker hiermee akkoord te gaan dat deze data (beperkt) verwerkt of getoond kan worden binnen de App-community of evenementenmodules.

OSB-VUB raadt aan om geen gevoelige informatie of locatiegegevens in mediabestanden op te nemen.

12. Beveiliging

Alle gegevens worden opgeslagen via beveiligde (versleutelde) verbindingen en servers met passende toegangsbescherming. OSB-VUB implementeert organisatorische en technische maatregelen om datalekken te voorkomen.

13. Minderjarigen

De App is niet bedoeld voor gebruikers jonger dan 16 jaar. Indien OSB-VUB vaststelt dat gegevens van minderjarigen zijn verzameld zonder ouderlijke toestemming, worden deze verwijderd.

14. Aansprakelijkheid & externe diensten

De App kan links bevatten naar externe diensten of platformen. OSB-VUB is niet verantwoordelijk voor het privacybeleid van derden.

15. Wijzigingen in dit beleid

Wijzigingen worden gecommuniceerd via de App of via e-mail. Het is aan te raden dit beleid regelmatig te raadplegen.

16. Toepasselijk recht

Op dit beleid is uitsluitend Belgisch recht van toepassing. Geschillen worden voorgelegd aan de bevoegde rechtbank te Brussel.

This privacy policy aims to provide transparent information about how OSB-VUB collects and processes personal data through its mobile application (hereafter "the App") for Android and iOS.

The term "User" refers to any natural or legal person who downloads, installs, or uses the App.

OSB-VUB determines all technical, legal, and organizational means and purposes of personal data processing and acts in accordance with Belgian privacy legislation and the European General Data Protection Regulation (GDPR).

If OSB-VUB engages third parties for data processing (Processors), appropriate agreements will be concluded that provide sufficient guarantees regarding data protection and security.

2. Processing of Personal Data

The use of the App may result in the processing of personal data by OSB-VUB or its partners/processors. This processing takes place in accordance with the GDPR and is based on:

• App registration

• User profile creation

• Push notifications and personalized communication

• Use of in-app analytics tools

• Interaction with features such as events, membership, or chat

3. Purpose of Processing Personal Data

Personal data processing within the App serves the following purposes:

3.1 Fulfilling OSB-VUB’s Statutory Purpose:

Strengthening the ties between alumni of the Vrije Universiteit Brussel, supporting the university, and promoting the principle of Free Inquiry.

3.2 Functional Purposes within the App:

• Membership verification and administration

• Communication regarding events, meetings, and news

• Statistical analysis of user behavior to optimize the app

• Personalized notifications (with consent)

• Payment services (if applicable within app functionalities)

4. Personal Data That May Be Processed

The following data may be collected via the App:

• First name and last name

• Date of birth, gender

• Contact information: email, phone, address

• Education and graduation details

• Professional status

• Profile and interest information

• App usage patterns (technical metadata)

Additional data may be collected if the user opts into features such as geolocation, media uploads, or push notifications.

5. Consent

Upon installation or registration in the App, the User is asked to explicitly agree with this privacy policy. This consent is required for certain functionalities to operate.

Users may withdraw their consent at any time via the app settings or by contacting OSB-VUB.

6. Data Retention Period

Personal data will not be retained longer than necessary for the intended purpose. OSB-VUB will retain data for a maximum of 70 years, unless earlier deletion is requested or required by law.

7. Data Recipients

Data may be shared with:

• OSB-VUB internal staff

• Selected IT partners for hosting and development

• Marketing and communication service providers (only with consent)

Third-party access is only permitted under strict data processing agreements.

10. Tracking & Analytics in the App

The App may use:

• App analytics tools (e.g., Firebase, Google Analytics for Mobile) for usage statistics

• Crash reporting services

• Push notification tracking and session logs

While no cookies are used (as on websites), similar tracking technologies may be applied. These can be controlled in the device’s operating system settings.

11. Media and Uploads

If users upload files, photos, or profile content, they agree that such data may be processed or displayed within the app community or event-related features.

OSB-VUB recommends not including sensitive or location-specific data in uploaded files.

12. Security

All data transfers are encrypted, and OSB-VUB implements organizational and technical measures to prevent data breaches.

13. Minors

The App is not intended for users under 16. If OSB-VUB becomes aware that data from minors is collected without parental consent, such data will be deleted.

14. Liability & External Services

The App may contain links to third-party services or platforms. OSB-VUB is not responsible for the privacy practices of these external providers.

15. Changes to This Policy

Changes will be communicated via the App or by email. Users are encouraged to regularly review this policy.

16. Applicable Law

This policy is governed exclusively by Belgian law. Any disputes shall be submitted to the courts in the judicial district of Brussels.
